Job Description

Job Summary
The Commercial Operations Specialist is a vital role within our organization, providing crucial support to the Sales Department with a primary focus on managing collections for past-due accounts from customers and distributors. This dynamic position requires a detail-oriented individual who can effectively balance customer relationships with financial responsibilities. The ideal candidate will work closely with the Sales Operations team and collaborate across various departments to streamline processes, improve cash flow, and support overall sales objectives. Reporting directly to the Sales Operations Manager, this role offers an exciting opportunity to make a significant impact on the company's financial health while contributing to its growth and success. The Commercial Operations Specialist will be instrumental in enhancing operational efficiency and maintaining strong business relationships in a fast-paced, results- driven environment.

Duties & Responsibilities

  • Lead global collections efforts for past-due invoices, working with third-party agencies, internal teams, and customers.
  • Monitor and communicate trade unit status across North America.
  • Manage logistics, shipping, and maintenance of demonstration units.
  • Create accurate instrument quotations and formal bid responses for Sales Partners and direct sales teams.
  • Provide administrative support to sales managers, including customer issue resolution and handling quotation inquiries.
  • Conduct research for special projects and prepare reports as needed.
  • Support and guide sales team in Salesforce usage, ensuring data integrity.
  • Maintain and update customer databases, ensuring accuracy and completeness of information.


Knowledge, Skills & Abilities:

  • Proven experience in collections management, with a track record of successfully reducing past- due accounts
  • Advanced proficiency in Microsoft Office Suite and Google Workspace (Gmail, Google Docs, Google Sheets)
  • Demonstrated experience with CRM systems, particularly Salesforce, and ERP systems such as SAP
  • Strong analytical and problem-solving skills, with the ability to identify issues and implement effective solutions
  • Excellent verbal and written communication skills, with the ability to interact professionally with customers, colleagues, and management
  • Exceptional organizational and time management skills, capable of prioritizing tasks and meeting deadlines in a fast-paced environment
  • Detail-oriented with a high level of accuracy in data entry and financial transactions
  • Adaptable and quick learner, able to grasp new software and processes efficiently
  • Strong customer service orientation, balancing customer satisfaction with company financial objectives
  • Basic understanding of accounting principles and financial processes related to collections and accounts receivable

Qualifications

Education & Experience
Required

  • High School Diploma
  • 3 years working in sales administration or customer support

Preferred:

  • Bachelor’s degree in business administration or related field

  • Compensation - The salary range is tied to the market for similarly benchmarked roles.  The range is not an absolute, but a guide, and offers will be based on the individual candidate’s knowledge, skills, experience, and market conditions, as well as internal peer equity.  Depending upon all the preceding considerations for the final selected individual candidate, the offer may be lower or higher than the stated range:  $22-$28 hourly
